Controller and contact details
The controller is TREX LEGAL & PARTNERS LLC (company registration number 406268792), legal address: Mikheil Gakhokidze Str. No. 49, Tbilisi, Georgia. Privacy requests: privacy@homeoffice.ge. General enquiries: info@homeoffice.ge.
Data we collect
We collect data you provide through contact, staffing, talent-network, candidate-account and job-application forms, including identity and contact details, company and role information, messages, professional history, roles, skills, languages, projects, certifications, work preferences, availability and uploaded professional documents. We also process limited technical and security data such as session identifiers, request time, IP-related server logs and consent records.
Purposes and legal bases
We process data to answer enquiries, assess staffing requests, administer applications and talent profiles, identify relevant opportunities, communicate with you, protect the website, prevent abuse, keep necessary records and comply with law. Depending on the activity, the basis is your consent, steps requested by you before a contract, performance of a contract, a legal obligation, or our important legitimate interests where your rights do not override them. We do not use form data for unrelated marketing without the required consent.
Required and optional information
Fields marked as required are needed to route and respond to the request or application. If you do not provide them, the relevant submission cannot be processed. Optional fields help us understand the request but may be left blank. Please do not submit passport, financial, health or other special-category data unless we specifically request it for a lawful and necessary purpose.
Recipients and service providers
Access is limited to authorised personnel who need the data for the stated purposes. We may use hosting, email, security, backup and professional-adviser providers acting under appropriate confidentiality and data-protection obligations. Candidate information is shared with a prospective client only for a relevant opportunity and with the transparency and lawful basis described in the Candidate Privacy Notice. We may disclose data where Georgian law requires it or to establish, exercise or defend legal claims.
International transfers
Some service providers or prospective clients may be located outside Georgia. Before an international transfer, we assess the applicable legal ground and safeguards and obtain any authorisation required by Georgian law. Where written consent is relied on because adequate safeguards are unavailable, we will first explain the relevant risks.
Retention
We keep personal data only while necessary for the stated purpose. Candidate talent-network data is retained until consent is revoked, subject to periodic review of necessity and accuracy. After revocation, we stop the consent-based processing and erase or destroy the data within 10 working days unless another lawful ground requires limited continued retention. Other enquiry, application, security and contractual records are reviewed against their purpose, legal obligations and the need to establish or defend claims, then erased, destroyed or depersonalised.
Security
We use role-based access, protected administration, secure sessions, request validation, restricted professional-document storage, client-scoped authorizations, logging, backups and other proportionate technical and organisational measures. No online system is risk-free. We register and assess security incidents and notify the competent authority and affected individuals when Georgian law requires it.
Your rights
You may request information about processing, access and a copy, correction or completion, termination and erasure, blocking, portability where technically applicable, withdrawal of consent and review of qualifying automated decisions. Requests are free subject to lawful exceptions. Most access, correction, erasure and consent-withdrawal requests are handled within 10 working days; a lawful extension may apply where permitted. Contact privacy@homeoffice.ge. We may need reasonable information to verify identity.
Direct marketing
We use personal data for direct marketing only with the required consent. Every marketing message will provide a simple, free way to withdraw. We will stop direct-marketing processing within a reasonable period and no later than 7 working days after a valid request. The date and fact of consent and withdrawal may be kept for the legally required period, including for 1 year after direct marketing ends.
Complaints and updates
If you believe your data is processed unlawfully, you may contact us first and may also apply to the State Audit Office of Georgia or a competent court under Georgian law. We will publish material policy changes here and update the date above.
